Resident Orientation & Teaching Expectations in Clerkships
1. Purpose
The purpose of this policy is to support Curriculum Committee centralized oversight and to establish a standardized process for informing residents about the educational objectives, structure, and expectations for students and residents participating in each of the clerkship at the Frederick P. Whiddon College of Medicine. This ensures that residents are prepared to effectively support and educate medical students while fulfilling their own clinical responsibilities.
2. Applicability
This policy applies to all residents involved in medical student education across all clerkships within the Frederick P. Whiddon College of Medicine.

4. Policy Guidelines
4.1 Mandatory Resident Orientation
4.1.1 All residents participating in a clerkship must complete an orientation session during each academic year.
4.1.2 Attendance is mandatory, except for work-hour restrictions, as approved by the residency program director.
4.1.3 Residents unable to attend must view the recorded session within two weeks and confirm completion.
4.2 Clerkship Information & Resources
4.2.1 The clerkship and residency learning management system websites will serve as the central platform for clerkship materials.
4.2.2 Residents will receive access to:
4.2.2.1. Clerkship educational objectives
4.2.2.2. Mistreatment Policy
4.2.2.3. Rotation descriptions with expectations from students and residents as teachers
4.2.2.4. Didactic activity schedules (lectures, team-based learning sessions)
4.2.2.5. Clerkship CANVAS site
4.2.3. Residents’ photos will be posted on CANVAS to help students identify them and will be updated by July 1 st every year.
4.3. Resident Teaching Responsibilities
4.3.1. Residents are expected to integrate their teaching with student didactic sessions
4.3.2. The lecture/TBL schedule will be made available to facilitate clinical-teaching alignment in clinical rotations when residents are present.
4.4. Documentation and compliance
4.4.1. Residents must sign physically or electronically the teaching expectations for residents’ form (TEACHER’s form) to confirm participation in the orientations
4.4.2. The residency program director and the clerkship director attest resident participation by signing the TEACHER’s form which is submitted to the Division of Medical Education and the Curriculum Committee.
4.4.3. Completion of the orientation is monitored by clerkship directors and the Division of Medical Education, with non-compliance reported to residency program leadership.
4.5. Enforcement
4.5.1. Failure to complete orientation requirements may result in formal notification to the residency program leadership
4.5.2. Continued non-compliance may affect a resident’s teaching responsibilities and clinical evaluations.
4.6. Review and Revision
4.6.1. This policy will be reviewed regularly by the curriculum committee and updated as necessary.
5. Procedures
5.1. Resident Orientation Process
5.1.1. The residency program director, or designee, will communicate the mandatory nature of the orientation to all residents.
5.1.2. Clerkship directors will host the resident orientation session at the beginning of each academic year
5.1.3. The session will be recorded, and residents unable to attend live must watch the recording within two weeks.
5.1.4. Residents must sign the TEACHER’s form to confirm their completion of the orientations.
5.1.5. The clerkship director and residency program director attest resident participation by signing the form.
5.1.6. The form is submitted by the clerkship coordinator to the Division of Medical Education.
5.1.7. The Curriculum Committee monitors compliance with the policy by each clerkship.
5.1.8. Once a year the Curriculum Committee approves or modifies the general content delivered during the residents at teachers’ orientations sessions.
5.2. Access to Clerkship Resources
5.2.1. All residents will be granted access to the learning management website at the beginning of each academic year.
5.2.2. Clerkship materials, including educational objectives, mistreatment policy, and rotation expectations, will be available in the learning management website.
5.2.3. Residents’ photos will be posted on the CANVAS website to help students recognize their educators
5.2.4. The lecture/TBL schedule will be displayed in resident charting areas to encourage integration with bedside teaching.
6. Enforcement
6.1. Compliance and monitoring
6.1.1. Residency program directors, clerkship directors, and coordinators will track attendance and form submissions
6.1.2. Residents who fail to complete the orientation within the required timeframe will receive a reminder notification.
6.1.3. Non-compliance will be reported to the residency program director if not addresses within the designated period.
6.2. Reinforcement of Teaching Responsibilities
6.2.1. During the orientation, clerkship directors will:
6.2.1.1. Outline student expectations for each clinical rotation within each clerkship
6.2.1.2. Clarify residents’ roles and educators
6.2.1.3. Explain the structure of clerkship didactic activities to align teaching efforts.
6.2.2. Residents will be encouraged to refer to the lecture/TBL schedule when guiding students.
6.2.3. Residents program director may choose to utilize external resources to enhance resident education leading into their role in teaching medical students.
